Activities Management

Acts as the main point of contact with DMCs or individual activity contacts.
Ensures that all necessary details, guarantees, and specific names are provided on time.
Communicates clearly and accurately with attendees about instructions for activities.

Food and Beverage Management

Manages all aspects of food and beverage service, including working with caterers or banquet staff.
Ensures that all meals, breaks, and refreshments meet the needs of the group, the F&B minimum, and the budget.
Ensures that food and beverage are set up correctly per BEOs with appropriate labels and at the correct times.

Gift Management

Ensures that all room drops or handouts are packaged prior to recipient arrivals.
Develops a plan for leftover gifts and any gifts that recipients cannot bring home in their suitcase.
Communicates the distribution process to everyone to help with flow and answer questions.

Ground Transportation Management

Maintains constant communication with transportation companies.
Ensures that the right people are picked up and dropped off at the correct times and locations.
Ensures that transfer instructions are clearly and accurately communicated to attendees.

Meeting Room Management (General Sessions /Breakouts)

Ensures that the general session rooms are set up according to BEOs.
Assists in getting attendees from meals to general sessions to breakouts successfully and timely.
Coordinates with banquet or venue staff, the AV team, and decor vendors to ensure the setup looks fantastic and will function flawlessly.

Registration Management

Manages onsite registration and hospitality desks.
Ensures that welcome packets and name badge materials are ready for distribution before arrival.
Assists attendees with any questions, requests, or changes they may have during the event.
