ACTIVE OPEN POSITIONS

We are looking for an Account Manager to organize excellent virtual and in-person events for 15-200 people. We are especially looking for the right person to fit our culture of fun, energetic, positive and a little quirky! We are willing to train the right candidate.

You will be responsible for every aspect of a program, from choosing venues to evaluating success afterwards. During the pandemic, all events take place on web platforms such as Zoom and WebEx. We are excited to go back to live events and the role will require travel, an average of 1 week per month, occasionally international.  Your role will require management of multiple programs in various stages of the planning process at one time. The role will also be responsible for managing a shared Operations Coordinator employee.

The Account Manager must be well-organized and competent in vendor and client management. Communication skills and attention to detail will set apart the best among the candidates. Responsibilities

  • Understand requirements for each event (virtual, in person, hybrid, merchandise fulfillment, etc)
  • Regularly communicate with clients to understand and manage their expectations as well as perpetuate trust in the relationship between their company and FUSION
  • Plan events, merchandise and branding programs with attention to financial and time constraints
  • Work with registration coordinator, contractors and vendors to execute events efficiently
  • Build, maintain and reconcile budgets
  • Book venues and schedule speakers
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Negotiate with vendors to achieve the most favorable terms for our clients and FUSION
  • Hire contract personnel necessary for a successful program execution
  • Manage all event and program operations (timeline management, venue set up and flow, food and beverage, audio/visual, entertainment, staffing, agenda, travel, electronic and print communications, VIPs, etc.)
  • Oversee program happenings and act quickly to resolve problems
  • Evaluate program successes and submit reports
  • Management of the shared Operations Coordinator (incls. Job description, hours, task lists, priorities, and other development responsibilities associated with managing an employee)

Skills

  • Proficient in MS Office especially Outlook, Excel, Word and PowerPoint
  • Experience using Cvent, Monday.com, Zoom, WebEx are a plus

The Event Registration Coordinator will be responsible for overall account support of registration accounts. This includes but is not limited to answering inquiries from both clients and their attendees via phone and email. This position is responsible for the creation of reports and other administrative tasks on behalf of account management and our clients as needed. This position will also complete administrative tasks for our clients’ accounts.

During the pandemic, all events take place on web platforms such as Zoom and WebEx. We are excited to go back to live events and the role will require travel, occasionally international. Must be able to travel occasionally and 2-7 days at a time. During a non-pandemic year, travel is approximately 1 week per month (some months have no travel and other months have more).

Responsibilities include but are not limited to:

  • Create simple to intermediate registration/event websites utilizing Cvent and other basic registration technology.
  • Advise clients as to registration best practices, processes and procedures to maximize their registration website.
  • Participate in weekly client conference calls.
  • Process inbound emails and respond to customer questions.
  • Demonstrate effective questioning/listening skills when speaking with customers and third parties.
  • Maximize productive time, manage work queues, and ensure multiple calls are made when appropriate.
  • Keep calls and emails on task and ensure efficient prioritization.
  • Track project tasks and completions in Monday.com.
  • Effectively manage registrations on behalf of the clients and their attendees.
  • Establish relationships with clients.
  • Manage email inboxes for both assigned and additional registration accounts.
  • Respond to escalated issues.
  • Think strategically about new and inventive ways of servicing our clients.
  • Assist with shipping, preparation and logistics.

FUSION is looking for a competent Operations Coordinator to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. They will be experienced with the Microsoft Office suite of solutions and especially skilled with Excel. The Operations Coordinator predominately works part-time during key business hours, 9:30am – 2:30pm. There is flexibility for the right candidate for this to be a full-time position.

Duties will include but not limited to the following:

  • Research, present, procure and track custom, personalized and retail merchandise for the
    fulfillment of client events, prize packs, and ad-hoc requests.
  • Assist with reconciliation of company programs as needed
  • Designing/documenting and maintaining clear operational guides to ensure consistency of
    operations as requested
  • Delivering reports and status updates as applicable to department heads to provide insight into
    the challenges and progress of requested projects
  • Take initiative to assist team leads with various additional projects as time allows to help
    FUSION succeed and to grow skillset
